Most people don’t know what archiving in Outlook means. Before we get into archiving in Outlook, let’s first learn some basics. Archiving is the process of moving unwanted email messages that might be part of a conversation to a separate, accessible folder on your computer. By archiving emails regularly, you can release up space in your inbox. With Microsoft Outlook, you can automatically / manually archive folders based on specific criteria using Outlook’s AutoArchive feature and permanently delete old emails when they reach a certain period. ..

When users have an Exchange server mailbox, they need to manage 1 gigabyte of storage space. Outlook has a cleanup tool on the File tab called AutoArchive. AutoArchive takes the oldest items and moves them to a PST file on your hard drive to release up space in your mailbox. The AutoArchive feature can also help people without an Exchange Server mailbox by reducing the main PST file. The main PST file on your hard drive is where your emails and other Outlook items are stored. With a smaller PST file, searches can be completed faster.

Steps to enable automatic archiving in Outlook are provided below

In the Options window, click on the General tab: In the General tab, click on the Security button: In the Security tab, click on the Authentication button: In the Authentication tab, click on the required fields: In the required fields, enter your name and email address: Click on OK to close the Options window and finish editing your file.

In the AutoArchive Settings dialog, under AutoArchive, click the AutoArchive button: The AutoArchive Settings dialog will appear. Under AutoArchive, select the desired archive type. Under Archive Types, select a file type to archive. Under Archive Types, select a location to store the files. Under Location, specify a path to store the files.

  1. Add a new entry to the AutoArchive.
  2. Edit an existing entry.
  3. Delete an existing entry.

1-Use the Run AutoArchive every checkbox to enable automatic archiving of emails and other items. 2-In the default folder settings for group archiving, define: 3 – the term after which messages will be moved to a file, 4 – the path and name of the .pst file. 5 – In the Move old items to field, you can change the file name (file.pst ) and location, so that the Outlook items are archived in any other location of your choice. 6-By default, Outlook saves the items archived in the following location: 7-C: Users Documents Outlook Files archive. pst8-Apply the new settings to all folders using Apply these settings to all folders now button.
